Club Waivers for Club Admins

Important Disclaimer

STRAVA DOES NOT PROVIDE LEGAL ADVICE. This article explains how to use Strava's club waiver feature.  It does not, however, constitute legal advice.

Strava provides the tool to issue and collect waivers, but does not review, approve, or advise on waiver content. Club administrators are solely responsible for:

  • Creating legally valid waiver content.
  • Ensuring waivers comply with applicable laws.
  • Understanding the enforceability of the waiver in their jurisdiction.

Waiver laws can vary significantly by location. Strava recommends consulting with a qualified lawyer licensed in your jurisdiction before creating or requiring waivers.

About Club Waivers

Club waivers allow you to require members to accept them before they can RSVP for club events. Waivers apply at the club level—not per event—so members will complete them once for your club rather than for each event. If your club's activities vary significantly between events, or you need event-specific waivers, consult a qualified lawyer about whether club-level waivers meet your needs.

You can create multiple waivers and have up to five active waivers simultaneously (e.g., a liability waiver and a photo release). When you activate a waiver:

  • Members see all active waivers when they first attempt to RSVP for any club event.
  • Members must accept all active waivers to complete their RSVP.
  • Club admins will be able to see a member's name and waiver acceptance date for completed waivers. Strava's database also records additional identifiers (email address, Athlete ID) for each completed waiver, but these additional identifiers are not visible to club admins.
  • Members only need to accept active waivers once, unless you update or add a waiver.

Before You Create a Waiver

Creating a legally effective waiver may require professional legal advice. Before using this feature, consult with a qualified lawyer about:

  • What your waiver should cover — Activities, risks, and any other liability provisions appropriate for your club.
  • Jurisdictional requirements — Laws vary by location; clubs with events or members in multiple regions may need to address multiple legal requirements.
  • Language and accessibility — Whether your waiver needs to be provided in specific languages.
  • Enforceability limitations — Many jurisdictions limit what can be waived.

For background on waiver considerations and sample templates to discuss with your lawyer, see this article here.

Age Requirement

Club waivers are only available to members 18 years or older. As a result, members under 18 cannot RSVP for events at clubs that require waivers. Clubs with younger members must handle parental/guardian consent and event sign-ups outside of Strava.

How to Create a Club Waiver

From the Strava App:

  1. Open the Strava mobile app and navigate to your club page.
  2. Tap Settings (gear icon).
  3. Scroll to the Events section and tap Waivers.
  4. Tap Add a waiver.
  5. Enter your Waiver title (e.g., "Club Waiver v1 November 2025").
  6. Enter or paste your Waiver text in the text field.
    • Note: Preformatted text (e.g., bullets, indents) can be pasted in, but formatting tools are not available when entering waiver text on this screen.
  7. Read and review the Important Information section, which confirms:
    • Strava only provides the tools to issue and collect waivers—Strava is not providing legal advice.
    • Strava is not a party to agreements between you and your club members.
    • You are solely responsible for creating a legally valid waiver.
  8. Check the box to confirm you have read and agree with the Important Information.
  9. Tap Use this waiver to activate.

You'll see a confirmation message: "Your waiver was successfully created." The Waivers section in your club settings will show how many waivers are currently active.

On the Strava website:

  1. Open Strava.com and navigate to a Club you’re an admin of.
  2. Click the Waivers tab on the Club page and click on Create new waiver.
  3. Enter your Waiver title (e.g., "Club Waiver v1 November 2025").
  4. Enter or paste your Waiver text in the text field.
    • Note: Preformatted text (e.g., bullets, indents) can be pasted in, but formatting tools are not available when entering waiver text on this screen.
  5. Read and review the Important Information section, which confirms:
    • Strava only provides the tools to issue and collect waivers—Strava is not providing legal advice.
    • Strava is not a party to agreements between you and your club members.
    • You are solely responsible for creating a legally valid waiver.
  6. Check the box to confirm you have read and agree with the Important Information.
  7. Tap Use this waiver to activate.

Once activated, members must accept all active waivers before they can RSVP for club events.

How to Edit a Waiver

Strava does not support editing a waiver after it has been created. To revise a waiver, create a new waiver with your updated content (follow the steps above), then deactivate the original version.

When you issue a revised waiver:

  • Existing acceptance records for the original version are retained in accordance with the retention provisions discussed below
  • Members must accept the new waiver before their next RSVP

Strava recommends consulting a qualified lawyer about the legal effect of changes to your waiver, including whether prior acceptances remain valid or require further action.

How to Deactivate a Waiver

If you no longer want to require a specific waiver for your club, you can deactivate it. Deactivating a waiver means members will no longer need to accept it to RSVP for an event.  Deactivated waivers and corresponding acceptance records remain retained and are not deleted.

To deactivate a waiver:

  1. Open the Strava mobile app and navigate to your club page
  2. Tap Settings (gear icon)
  3. Scroll to the Events section and tap Waivers
  4. Select the Active Waiver you would like to deactivate
  5. Toggle off Require this waiver for events

If you have other active waivers, members will still need to accept those to RSVP for events.

How to View Waiver Acceptances

To see which members have accepted your waiver:

  1. Open the Strava mobile app and navigate to your club page
  2. Tap Settings (gear icon)
  3. Scroll to the Events section and tap Waivers
  4. Select the Waiver you would like to view acceptances for
  5. The bottom of the selected waiver will list the members that have accepted the waiver along with the corresponding date that the agreement was accepted.
  6. From Strava.com, navigate to your club page and click on the "Waivers" tab.
  7. Click the waiver you want to view to see all of the signatures.

There is also an option to download a CSV of the signatures.

Updating Your Waiver Over Time

Consider adding a new waiver or issuing a revised version when:

  • Your club's activities change
  • Your lawyer advises modifications
  • Legal requirements change in your jurisdiction
  • Your club structure or operations change

When you add a new waiver, members who have already accepted your previous waivers will need to accept the new waiver before their next RSVP.

Some clubs may want to require periodic re-acceptance (e.g., annually) even without content changes. To do this, we recommend creating a new waiver with an updated date in the title (e.g., Photo Release - March 2, 2026). Members will need to accept the new version before their next RSVP.

Strava recommends consulting with your lawyer about whether periodic renewal is appropriate for your club.

Data and Privacy

What Strava Stores

When members accept your waiver, Strava stores:

  • The waiver text displayed to the member
  • Date and time of acceptance
  • Signing member's account identifiers (Name, email address, Athlete ID)

Your Responsibilities

As a club administrator, you are responsible for managing waiver acceptance data that you possess.  Depending on where you and your members are located, you may have obligations under applicable data protection laws regarding:

  • Providing notice to members about data use
  • Responding to member requests to access, correct, or delete their data (see FAQ below)
  • Implementing appropriate security measures

Data Retention

Waiver records are retained by Strava for 3 years after the waiver is accepted

  • When a member leaves a club, the member’s waiver acceptance record will continue to be retained by Strava until the 3-year retention period expires
  • When a club is deleted, waiver records will continue to be accessible to signers and retained by Strava until the 3-year retention period expires

FAQs

Will Strava review my waiver content?

No. Strava does not review, approve, or advise on waiver content. You are solely responsible for ensuring your waiver is legally valid and appropriate.

Can I require different waivers for different events?

No. This feature applies waivers at the club level, not per event. You can create multiple waivers and have up to five active at the same time (e.g., a liability waiver and a photo release), but members will need to accept all active waivers before they can RSVP for any club event.

If your club's activities vary significantly between events or you need one or more event-specific agreements, consult a qualified lawyer about whether club-level waivers meet your needs.

What happens if a member doesn't accept the waiver?

They cannot RSVP for club events but can still remain a club member and view club content.

What if I need some waivers to be optional?

All active waivers are required to RSVP to a club event. Strava does not currently support optional waivers. In some jurisdictions, certain consents may need to be voluntary under applicable laws. If making a consent mandatory could create a compliance issue for your club, consider collecting that consent outside of Strava’s waiver feature.  Consult a qualified lawyer in your jurisdiction about which agreements can be required and which should be optional.

How do I know if my waiver is valid and/or enforceable?

Strava does not provide legal advice and cannot advise on waiver validity or enforceability. Consult a qualified lawyer in your jurisdiction.

What if my club has members in multiple countries?

You are responsible for ensuring your waiver complies with laws in all jurisdictions where your members are located. This may require consulting lawyers qualified in multiple jurisdictions.

What if a member makes a data request about their waiver?

Strava's records: Members can access waiver acceptance records held by Strava by viewing signed waivers in the app or using Strava's Bulk Export feature (see Exporting your Data and Bulk Export). Strava retains records for 3 years from acceptance for legal defense purposes and cannot delete them during this period.

Your records: As a club administrator, you are an independent data controller for waiver acceptance records. You are responsible for responding to member data requests according to applicable data protection laws in your jurisdiction. Consult with a qualified lawyer about your obligations, including retention requirements for legal defense purposes.

Can minors accept waivers?

No. Only members 18 or older can accept waivers. Because waiver acceptance is required to RSVP, members under 18 cannot RSVP for events at clubs that require waivers.

Please note: The legal age for entering binding agreements exceeds 18 in some jurisdictions. Club administrators should verify applicable age requirements with a qualified lawyer.

Do I need insurance in addition to a waiver?

Strava cannot advise on insurance needs. Waivers and insurance serve different purposes, and having a waiver does not eliminate the possibility of claims. Consult an insurance professional about appropriate coverage for your club's activities.

Can I create waivers on the Strava website?

Yes.

Is there a limit to how many waivers I can have?

You can create up to 50 waivers, but only five can be active at any given time. To activate a new waiver when you already have five active, you'll need to deactivate one first.
